JOB DESCRIPTION

 

POSITION:                          Purchasing Agent I (Regular Requisitions/PO’s for General and Building Fund)

RESPONSIBLE TO:               Assistant Superintendent

 

QUALIFICATIONS

EDUCATION:                                 

Minimum of Associates Degree; preferred in Accounting or Business

 

EXPERIENCE:                                

Minimum of three years of successful experience performing a purchasing function                                                    

Knowledge of computer systems relating to the purchasing, receiving, and inventory control system

PERSONNEL

CLASSIFICATION:                         

Support Personnel (ST12 Salary Schedule; Support Supplement if applicable above Associates Only) – 12 Month Contract;

 

Non-Exempt

PRIMARY FUNCTION                  

Responsible for planning and executing a complete purchasing program for the District in accordance with policies and procedures established by the local school board, Oklahoma State Department of Career and Technology Education, and Oklahoma Statutes

 

OTHER:                                            

A high degree of honesty and integrity to be demonstrated through both work and personal references

 

DEPENDABILITY:                         

Punctual and regular attendance following a designated work schedule.  Must be able to work extended hours as required by position responsibilities

 

PHYSICAL/MENTAL

STANDARDS:                                 

 

  • Ability to read, comprehend, and evaluate various documents.                                                         
  • Ability to stand for long periods of time, move about the office, and from building to building                                       
  • Requires stooping, bending, and pulling                                                          
  • Requires lifting, handling, and carrying such articles as books, manuals, files, and job related items up to 50 pounds               
  • Multi-tasking skills required

 

 

EMOTIONAL EFFORT:                 

 

  • Moderate to extreme.                                                           
  • Frequent deadlines, requiring concentrated effort and overtime work                                                           
  • Must be a self-starter                                                           
  • Must have ability to prioritize time, assignments, and projects while handling a high volume of customer service and needs                                                           
  • Ability to handle high stress situations at peak periods

 

 

ESSENTIAL JOB FUNCTIONS

                                                           

 

  • Plans, recommends, implements, and supervises the purchasing systems and procedures for the school district.         
  • Plans, recommends, implements and supervises the receiving system and procedures                                                Reviews paperwork and prepares invoices for payment/accounts payable.
  • Coordinates the purchase of materials, supplies and equipment.                                                           
  • Utilize financial software to carry out the duties of the position.                                                           
  • Assists directors and field staff in the plans and specifications for bidding of supplies and equipment.                                                      
  • It is expected for employee to be on time each workday as this is essential to the employee’s job
  • Educate and conduct training of purchasing procedures for office staff across the district.
  • Review purchasing practices for adherence to district policies.
  • Recommend saving opportunities to administrative position for purchases.                                                           
  • Other jobs/tasks as described and requested by administrator

  • Build good harmonious rapport and work cooperatively with departmental staff, administrators, and district personnel, while achieving the duties, functions, responsibilities, and objectives of this job.                                                           
  • Assist and communicate with all personnel in district, other organization personnel, and clients in a pleasant, friendly, and sociable manner.

 

OTHER:                                            

Perform other duties and assume such other responsibilities as may be required to accomplish essential job functions and directed by the appropriate administrator.
